5 days ago Be among the first 25 applicantsDescriptionThe Practice Group Operations Specialist provides operational support for the practice group and assists the Director of Business Management, Americas Practice, with daily business operations. This role supports the Practice Director’s execution of key initiatives and ensures operational excellence across the Tax, Litigation, and Transactional practice groups. The position may be based in Miami, Dallas, Houston, Tampa, or Chicago.Main ResponsibilitiesWork closely with attorneys and professionals; collaborate with firm business functions including Talent Management, Business Development, Knowledge Management, Finance/Accounting, Recruiting, LPM, IDE, Pro Bono, and CLE.Track and maintain practice group budgets and expenses.Maintain membership lists, track new hires, departures, leaves of absence, and vacations to keep the practice group informed.Establish a consistent framework for practice group meetings and communications; support firm processes and follow‑up on initiatives/action items.Oversee administrative details for meetings and special events (scheduling, logistics, invite distribution).Support the Operations Manager in staffing resource management, including the Associate Availability Dashboard and practice group directory.Provide a weekly summary of associate productivity and availability.Support development and management of utilization and capacity management reporting and processes.Run ad‐hoc reporting requests and liaise with finance to answer management queries.Monitor time‑entry compliance and follow up with practice group timekeepers.Prepare monthly financial reports/presentations communicating KPIs with partners.Support oversight of timekeepers, assist Talent Management in associate work availability, recruiting, onboarding, mobility, and performance management processes.Assist with general department information requests from attorneys and staff.Ensure implementation of cross‑practice and cross‑functional initiatives at the practice group regional level.Coordinate resources from other business professional functions to ensure proper coverage and strategy execution.Skills and ExperienceRelevant undergraduate degree required.Experience in a bilingual professional services environment, ideally a law, consulting, or accounting firm.Proficiency with Microsoft Office, including PowerPoint and Excel.Excellent oral and written communication skills in Spanish and English.Effective communication at all organizational levels.Strong business sense and good judgment in problem‑solving.Able to manage multiple projects with continual attention to detail (accuracy with numbers).Able to work effectively in informal teams and collaborate across practices and functions in a global organization.Able to think critically and strategically to provide analysis and recommended solutions.Able to learn and leverage new technology.High level of interpersonal skills to handle sensitive and confidential situations.Resourceful, highly organized, detail‑oriented, and proactive.Strong project management skills.LocationMiami, Chicago, Dallas, Houston, Mexico City, or Tampa CenterReports toBusiness ManagerTravel requirementsSome travel is required.Position typeRegionalDevelopment frameworkSpecialistJob DetailsSeniority level: Entry levelEmployment type: Full‑timeJob function: Management and ManufacturingIndustries: Business Consulting and ServicesAbout UsAt Baker McKenzie we are different in the way we think, work and behave. Within the range, individual pay is determined by location and additional factors, including job‑related skills, experience, and relevant education or training.
